How to Manage Users and Assign Roles in Lano

In the Lano platform, company users are the ones who have the ability to manage the account. As an admin user, you have full access to all of the platform's functionality, including the ability to add and delete users, assign roles, and manage the legal entity.

The account owner is the user who originally set up the Lano account and cannot be deleted. However, other users can be added to the account as admin users, allowing them to access and manage the account going forward.

How to add a new user

To invite new users and assign roles, please follow these steps:

  1. Navigate to Settings

    Click on the "Settings" option in the left-hand blue menu.

  2. Open the Users Tab

    Within Settings, select the "Users" tab at the top of the page.

  3. Invite a New User

    Click the "+ Invite user" button as shown in the screenshot below.

  4. Fill in User Details

    A form will appear where you need to enter:

    • Full name of the user

    • Work email address

    • Select the appropriate role from the dropdown menu

  5. Send Invitation

    Once the details are completed, click "Send Invite" to send an invitation to the new user.

Roles & Permissions

Roles & Permissions

Lano offers 4 standard user roles: Admin, Manager, Finance, and Expense Approver. Each role comes with a specific set of permissions tailored to their responsibilities.

Admin

Admins have full access to all platform features and settings. They manage company users, account settings, and permissions.

Permissions include:

  • All Manager, Finance, and Expense Approver rights

  • Add, remove, and edit users

  • Change company settings

  • Company registration

  • Receive invoicing emails

Manager

Managers focus on the hiring and management of team members.

Permissions include:

  • All Finance permissions (excluding invoicing emails)

  • Add and manage hires

  • Run cost calculations

  • Access and manage the hiring flow

  • Download documents from employee profiles

  • Submit, edit, or delete payroll changes

  • Request terminations

  • Receive payroll change reminders and summaries

Finance

Finance users handle billing and financial data.

Permissions include:

  • Access to company settings (view only)

  • View team member information

  • View and download invoices

  • View payroll changes

  • Receive invoicing emails

Expense Approver

This role focuses on managing employee expense submissions

Permissions include:

  • View the expenses page

  • Approve or reject submitted expenses
